You will exhibit strong internal customer service skills by undertaking clerical and office coordination tasks to support the Vice President and other staff.

Excellent verbal and written communication skills in both French and English, reliability and having the ability to work with a sense of urgency and accuracy while being able to meet deadlines characterizes the fundamental requirements of this role.

    What you will get to do as an Office Administrator/Coordinator:

    • Provide administrative, financial and clerical support to the teams in our Montreal and Quebec City offices
    • Be the point of contact for Administration and Accounting teams
    • Maintain filing systems
    • Prepare and assemble proposals, reports, staff resumes and other documentation, update office directories, inventory lists and other office reference materials
    • Organize meetings, coordinate teleconferences or webinars as necessary
    • Receive and greet visitors, coordinate incoming and outgoing mail and couriers
    • Provide onboarding assistance and training to new staff on office procedures
    • Regularly communicate status updates with RVP, Principals and Project Managers
    • Provide administrative support to the RVP and Project Managers including submission of a variety of project documentation including: schedule updates, progress reports and preparation of tender and contract documents on an as-needed basis
    • Ensure that all office and project activities are conducted in accordance with our Quality Management System
    • Ensure a professional appearance of all areas of the office
    • Maintain a suitable inventory of all appropriate office supplies and ensure efficient operations of office equipment


    What you’ll need to be successful:


    • A minimum of three years of experience in an office administration support capacity
    • Familiarity with contracts, regulations, as well as construction administration procedures and ethicsStrong customer service skills
    • Critical thinker with the willingness to take initiative and work independently
    • Impeccable written and verbal communication skills in both French and English
    • Superior interpersonal skills and an aptitude for providing administration support
    • Advanced knowledge of Microsoft Office tools with emphasis on Word, Excel, and PowerPoint
    • Ease of use with Video Conferencing communications as well elemental information technology proficiency is an asset
    • Ability to prioritize tasks and meet deadlines
    • Strong attention to detail
    • Ability to manage competing priorities
    • Ability to exercise good judgment, discretion, tact and diplomacy
