    As Colliers Project Leaders continues to grow and attract exciting project opportunities, we seek a bilingual Office Coordinator to join our team in Ottawa.

    We are seeking a passionate, energetic administrative professional who enjoys problem solving, working with numbers/finance and supporting a diverse team of individuals. You will exhibit strong internal customer service skills by undertaking office coordination tasks to support the Eastern Canada Manger of Regional Operations for both the Ottawa and Quebec business units.


    Our ideal candidate is a highly cooperative individual who demonstrates initiative, a willingness to assist others and an ability to take on new responsibilities. Excellent verbal and written communication skills in both French and English are required.

    What you will get to do as an Office Coordinator:

    • Provide administrative, financial and clerical support to the Project Management Professionals Teams in our Ottawa and Quebec offices
    • Prepare reports, staff resumes and other documentation, update office directories, inventory lists and other office reference materials
    • Regularly communicate status updates with Operations Lead, RVP, Principals and Project Managers
    • Ensure that all office and project activities are conducted in accordance with our Quality Management System
    • Provide onboarding assistance and training to new staff on office procedures
    • Organize meetings, coordinate teleconferences or webinars as necessary
    • Receive and greet visitors, coordinate incoming and outgoing mail and couriers
    • Ensure a professional appearance of all areas of the office
    • Maintain a suitable inventory of all appropriate office supplies and ensure efficient operations of office equipment
    • Maintain filing systems


    What you’ll need to be successful:

    • A minimum of three years’ experience in an office coordination support capacity
    • Critical thinker, confident with the willingness to take initiative and work independently
    • Impeccable written and verbal communication and organizational skills in both English and French
    • Superior interpersonal skills and an aptitude for providing administration support
    • Advanced knowledge of Microsoft Office tools with emphasis on Outlook, Word, Excel, and PowerPoint
    • Experience using CRM tool is an asset
    • Experience using SharePoint is an asset
    • Ability to prioritize tasks and meet deadlines
    • Strong attention to detail
    • Ability to manage and prioritize competing demands
    • Ability to exercise good judgment, discretion, tact and diplomacy 
    • Familiarity with contracts, regulations, as well as construction administration procedures and ethics
    • Professional, friendly, personable and able to build harmonious working relationships with Senior Management, colleagues, external clients, suppliers and the general public
