    We are looking for a Proposal Coordinator to join our team in Ottawa.

    Reporting to the Manager, Virtual Proposal Team, the Proposal Coordinator will provide writing and editing assistance, proposal coordination, and assist the timely delivery of proposal submissions for various Business Units. This position is an important support function to the Virtual Proposal Team. It requires premium organizational and communication skills, normal to above average computer/formatting skills, and a basic understanding of the proposal process. The Proposal Coordinator will leverage his/her relationship with other personnel to secure the support and assistance required to complete the preparation of proposals and proposal-materials in a timely manner and consistent with corporate standards and brand messaging.

    How you’ll contribute as a Proposal Coordinator at Colliers Project Leaders:

    • Provide administrative proposal support to the Proposal Managers and Proposal Writers on bids, as required
    • Perform opportunity tracking by searching MERX, Biddingo, and similar tender sites for new opportunities and distributes them as appropriate
    • Create, revise and update resumes and project description sheets for all Business Units and ensure content is updated within our proposal systems
    • Perform data entry tasks and update proposal systems as required
    • Format documentation to be consistent with corporate graphic standards and templates
    • Coordinate the proposal response process, from receipt of RFP to the printing and assembly of the final product
    • Define and manage the proposal response plan, schedule, and internal communications associated with the proposal development including follow-up with the contributors
    • Actively participate in proposal strategy meetings, researching internal and external information, and distilling into win strategies for the submission
    • Ensure the consistent and uniform application of the Company’s standards and brand with respect to all communication and applicable tasks undertaken
    • Participate in trend analysis, proposal debriefings and other similar opportunities to ensure continuous quality improvement and to identify enhancements for proposal content and process
    • Provide editing as required to ensure the proposal response is accurate, concise, and effective
    • Ensure management and follow-up of issues and information requests
    • Communicate with senior-level managers within and outside of the company


    What experience and skills you’ll bring to the table:

    • Post-secondary degree in Journalism, Communications, Marketing, English or related field or equivalent work experience
    • Advanced knowledge and experience with MS Office products, in particular Word
    • Working knowledge of Adobe Creative Suites software, with ability to produce document in InDesign
    • Excellent business writing, editing and proofreading skills
    • Knowledge of the proposal development process and familiarity with Request for Proposal (RFP) documents is an asset
    • Exceptional researcher and a persuasive writer able to express ideas and concepts in a compelling manner, using both text and graphics
    • Self-starter with superior project management skills, with the ability to prioritize tasks, track projects, and meet deadlines
    • Ability to juggle multiple projects simultaneously, work under pressure, meet tight deadlines and handle confidential information with discretion
    • Enjoys working in a team environment
    • Exceptional written and oral communication skills
    • Bilingual English and French is a strong asset
